TECHNICAL SPECIFICATIONS & FAQ DESK
ESTIMATING GUIDANCE
SECTION A Working Together & Submittal Process
What documents do I need to send to get started?
For a complete takeoff, please send the architectural floor plans, partition schedules, reflected ceiling plans (RCP), and door/window opening schedules. If available, structural framing sheets and project specifications (Section 09 22 16 / 09 29 00) help resolve deck connection details. You can upload files (PDF or ZIP up to 25MB) directly or paste a cloud folder link (Dropbox, Google Drive, Box, Procore, or BuildingConnected).
How do revisions and addenda work if plans change during bidding?
Minor scope clarifications (such as verifying a partition detail or confirming an opening height) are addressed at no additional charge. If a formal architectural addendum modifies partition types or adds new square footage, we review the drawing changes immediately and quote any minor adjustment before performing additional measurement.
What communication channels do you provide during an active takeoff?
You have direct email and phone access to our Houston estimating desk. When we encounter drawing ambiguities or discrepancies between floor plans and details, we contact you directly so questions can be resolved immediately rather than holding up your bid deadline.
SECTION B Turnaround & Scheduling
How quickly will I receive my written takeoff proposal?
Within 4 to 6 business hours of submitting your drawing set, we review sheet count, partition complexity, and scope boundaries. We return a formal written proposal confirming the exact scope, fixed fee, and guaranteed delivery deadline.
How long does a typical takeoff take from start to finish?
Turnaround depends on project size. Standard tenant improvements and commercial partitions (under 25,000 SF) typically require 2 to 3 business days. Multifamily developments and large commercial complexes require 4 to 6 business days. The specific delivery date and time are always confirmed in writing before work begins.
Can you handle expedited or rush 48-hour turnarounds?
Yes. For qualifying commercial and residential plan sets facing urgent GC bid dates, we offer an expedited track with prioritized desk scheduling. When you submit your drawings, indicate your required due date and we will immediately confirm availability.
SECTION C Deliverables & Formats
What file formats will I receive in my delivery package?
Every completed takeoff includes two core deliverables:
1. Live Microsoft Excel Workbook (.xlsx): Structured tabs with active, unlocked formulas. You can change board waste percentages, stud spacing, or add supplier material prices and crew labor rates instantly.
2. Color-Coded Marked Plan Drawings (PDF): Full-size drawings highlighting partition types in distinct colors for visual audit and field handover.

Are the Excel formulas locked or protected?
No. All Excel sheets are 100% unlocked. We believe contractors should own their estimating data. You have full visibility into the math and can freely copy quantities into your company's master pricing sheets.
Can you adapt your Excel deliverable to our company's internal bidding template?
Yes. For recurring contractor partners, we can format line item quantities and summary totals directly into your company's custom Excel estimating template upon review.
SECTION D Pricing Philosophy & Terms
How is pricing determined for an estimate?
We quote fixed fees per project based on drawing sheet volume, partition assembly complexity, and required turnaround. We never publish arbitrary "cents per square foot" rates because simple open partitions require very different effort than multi-layered fire-rated medical assemblies. You receive a guaranteed fixed price before any work begins.
Do you charge a percentage of the bid amount or take a commission if we win?
Never. We charge a flat, transparent estimating fee for our technical measurement service. We never ask for project percentages, success bonuses, or commission fees.
Do you require long-term contracts or monthly retainers?
No long-term commitments are required. You can utilize Kubero on a single project during a heavy bid week or partner with us as an ongoing capacity extension. You only pay for the projects you send.
SECTION E Confidentiality & Trade Ethics
How do you protect my confidential drawing sets and client data?
All drawings, project names, and contractor information submitted to Kubero are kept strictly confidential under professional non-disclosure practices. We are happy to execute your company's mutual NDA prior to receiving plan sets.
Will you estimate the same project for a competing subcontractor?
No. If two subcontractors invite us to estimate the exact same project scope for the same general contractor, we honor the first contractor who confirmed engagement and decline the second to prevent any conflict of interest.
Do you provide labor pricing or material quantity takeoffs only?
Our active specialty is material quantity takeoffs: net square footage, sheet counts, linear footage of framing, track, screws, and compounds. We leave labor rates, crew production factors, and markup entirely in your hands because you know your field crews best.
Do you estimate projects outside the Greater Houston area?
Yes. While our primary focus is supporting commercial and residential subcontractors across Greater Houston and Texas, we regularly provide takeoffs for projects across the United States.
